Privacy Policy

Last updated

This Privacy Policy explains how AID Project Solutions ("AID", "we", "us") processes personal data when you visit this website or get in touch with us. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Turkish Law on the Protection of Personal Data No. 6698 (KVKK).

1. Who is responsible for your data

The data controller is AID Project Solutions, with offices at:

  • ul. Marszałkowska 84/92, lok: 2, 00-514 Warsaw/POLAND
  • Bağlıca Mah. 1290. Sokak No:6B/5 Etimesgut/ANKARA

For any privacy-related question or request, contact us at bkavci@aidprojectsolutions.com.

2. What data we process

  • Contact form and e-mail: your full name, company name (optional), e-mail address, phone number (optional) and the content of your message.
  • Website visits: our hosting provider automatically processes the technical data needed to deliver the website securely — IP address, date and time of the request, the page requested and browser information (server log files).
  • Language and theme preference: when you pick a language in the language menu, the choice is stored in a cookie in your browser; your light/dark theme choice is stored in your browser's local storage. Both are only used to show the site the way you chose and are not sent to us.
  • No tracking cookies: this website does not use analytics, advertising or tracking cookies.
  • Google Maps: the map on our contact page is only loaded after you click “Show map”. Google then receives your IP address and may set cookies.

3. Purposes and legal bases

  • Answering your enquiry and preparing a possible contract — Art. 6(1)(b) GDPR; Art. 5(2)(c) KVKK.
  • Operating a secure website and handling business correspondence (our legitimate interest) — Art. 6(1)(f) GDPR; Art. 5(2)(f) KVKK.
  • Displaying Google Maps — your consent, given by clicking “Show map” — Art. 6(1)(a) GDPR; Art. 5(1) KVKK. The map is not loaded again on your next visit unless you click again.
  • Meeting legal obligations, for example retention duties if an enquiry leads to a contract — Art. 6(1)(c) GDPR; Art. 5(2)(ç) KVKK.

4. Who receives your data

We share personal data only with service providers that help us run this website and our communication, and only to the extent necessary:

  • Vercel Inc. — website hosting and content delivery.
  • Resend — delivery of contact form messages by e-mail.
  • Google — map display, only after you click “Show map”.
  • Our e-mail and IT service providers — receiving and storing correspondence.

We do not sell your personal data.

5. International transfers

Some of these providers are located in the United States or other countries outside the European Economic Area and Türkiye. Such transfers are based on an adequacy decision (for example the EU–U.S. Data Privacy Framework) or on standard contractual clauses and, for data subject to KVKK, on the safeguards set out in Article 9 of the KVKK.

6. How long we keep your data

We keep enquiries only as long as needed to handle them and any follow-up, and generally delete them no later than 24 months after our last contact, unless a longer retention period is required by law (for example when a contract is concluded). Server log files are deleted by our hosting provider after a short period.

7. Your rights

Under the GDPR you have the right to access your data, to have it corrected or erased, to restrict or object to its processing, to data portability and to withdraw your consent at any time with effect for the future.

Under Article 11 of the KVKK you have the right to learn whether your personal data is processed, to request information about it, to learn the purpose of processing and the third parties it is transferred to, to request its correction or deletion, to object to results arising from exclusively automated analysis and to claim compensation for damages caused by unlawful processing.

To exercise your rights, e-mail us at bkavci@aidprojectsolutions.com. You also have the right to lodge a complaint with a supervisory authority — in Poland the President of the Personal Data Protection Office (uodo.gov.pl), in Türkiye the Personal Data Protection Authority (kvkk.gov.tr).

8. Changes to this policy

We may update this Privacy Policy when our services or legal requirements change. The current version is always available on this page. This policy is available in several languages; in case of any discrepancy, the English version prevails.
